Privacy Policy

This policy explains, in plain words, what information the school keeps, why it keeps it, and what it will never do with it. It covers our website, our school management system, and the WhatsApp messages we send to parents.
What we keep
For each enrolled child we hold the records a school needs in order to run:
- the child's name, father's or guardian's name, class and section, and admission or roll number;
- one parent or guardian mobile number, so the school can reach the family;
- fee records — what was billed, what was paid, what is outstanding;
- attendance, examination marks and result records;
- where the family has provided one, a photograph for the child's own portal.
For staff we hold employment records: name, role, contact number, attendance, leave and salary. If you write to us through the website's enquiry or feedback form, we keep what you send us so that we can reply.
Why we keep it
Only to run the school: to teach and assess the child, to record and collect fees, to mark attendance, to pay staff, and to keep parents informed about their own child. Nothing more.
WhatsApp messages
The school sends messages to the guardian's registered number through the official WhatsApp Business Platform. These are service messages about that family's own child:
- a notice when the month's fee challan has been prepared;
- a fee reminder where an amount is outstanding;
- a receipt when a payment has been received;
- a note if the child has been absent for several days.
We do not send marketing, advertising or promotional messages, and we never sell, rent or share any parent's number with anyone.
A parent who does not wish to receive these messages may tell the school office at any time and the number will be taken off the messaging list. Fee notices will then be sent home on paper instead.
To deliver a message, WhatsApp (Meta) necessarily receives the recipient's number and the message itself, and reports back whether it was delivered and read. That handling is governed by WhatsApp's own privacy policy.
Who can see the records
Access inside the school is limited by role. A teacher sees only her own classes. Office staff see only what the principal has switched on for them. Fee and salary figures are restricted to those who handle money. A parent or student account shows that child's records and no other child's.
We do not sell, rent or trade anyone's information. We share it outside the school only where a government department or education board legitimately requires it, or where the law obliges us.
Children
Our students are minors and their records are entered by the school from the forms their parents complete at admission. The school does not collect information directly from children online, and student portal accounts are created and controlled by the school.
How it is protected
The system runs on the school's own server. Traffic to the website and portal is encrypted (HTTPS). Every account has its own password and its own limited access, financial entries are never silently deleted — they are cancelled with a recorded reason — and the database is backed up every night.
How long we keep it
Academic and financial records are kept as long as a school must keep them, so that a former student can be issued a certificate, a leaving certificate or a result record years later. A parent's mobile number is kept while the child is enrolled and used only for that family.
Your choices
Parents and guardians may, at any time and free of charge:
- ask to see what the school holds about their child;
- have anything incorrect put right;
- have the mobile number changed or removed from the messaging list.
